A step-by-step guide for SMEs
How to integrate AI into your businessone process at a time.
Integrating AI into a business isn't a technology project; it's an operations project with some technology in it. This guide walks through the steps that work for small and medium-sized businesses, from choosing the first process to measuring the result.
1. Start with a process, not a tool
The most common mistake is starting with "we should use AI" and looking for somewhere to put it. Start instead with a process that costs you time: handling enquiries, quoting, processing invoices, chasing approvals. Write down who does it, how often, and roughly how long it takes.
2. Measure it before you change it
Pick one or two simple measures: hours a week, time from enquiry to quote, number of errors. Without a "before", you can't prove the "after", and it's much harder to decide what to do next.
3. Separate the AI part from the automation part
Most processes contain a small amount of reading and judging unstructured information (AI) and a lot of moving information between places on fixed rules (automation). Use AI only for the first part. It keeps costs down and makes the whole thing more reliable.
4. Connect what you already have
AI that sits outside your systems creates a new place to copy information to. The value comes when it's connected to your accounts, CRM or job-management software so results land where people already work. Most modern business software has an API that makes this possible. See AI integration for how we approach it.
5. Decide: build, buy or configure
- Build from scratch only if the process is unusual and central to how you compete.
- Buy an off-the-shelf tool if it fits your process without bending it.
- Configure a ready-built system around your process, which is what VRTL does, if you want something that fits without paying for a bespoke build.
6. Pilot with a person in the loop
Run the new process alongside the old one for a short period, with a person checking the output. Look at what it gets wrong and fix the rules, prompts or data before you rely on it.
7. Measure, then expand
Compare against your "before". If it works, roll it out fully and pick the next process. If it doesn't, find out why before you spend more.
Where to begin

Questions we're asked
Will it work with the software we already use?
Usually, yes. VRTL's integration modules connect to common accounts, CRM and operational systems through their published APIs. We confirm your specific systems at kick-off before any integration work is priced or started, and we'll tell you if something can't be connected reliably.
How long does implementation take?
Your personalised page shows the estimated delivery time for your exact configuration. Because VRTL systems are built from proven modules rather than from scratch, standard configurations are measured in weeks rather than months. Integrations with older systems and large data migrations take longer, and we'll say so up front.
Do we need to replace our existing systems?
Usually not. Automation works best when it connects the tools you already use. Replacing systems carries its own cost and risk, so we only suggest it when there's a clear reason.
What is the free assessment?
You paste your website address (or describe your business if you don't have one) and VRTL reads your public pages, works out what you do and which day-to-day processes a business like yours runs on, then gives you a short appraisal: where time is most likely being lost, and where AI or plain automation would genuinely help. If one of our products fits, it's set up for you with the price shown. It's free and there's no sign-up.
Where should we start with AI?
With one frequent, rule-heavy task that you can measure today, such as handling enquiries, re-keying documents or chasing approvals. Prove the gain there before doing anything else.
