Accountancy & bookkeeping practices

AI for accountancy practiceswithout putting client data at risk.

Accountancy and bookkeeping practices spend a large share of their time chasing, reading and filing rather than advising. Here's where AI genuinely helps a practice, where it doesn't, and how to keep client data safe.

Free and takes about a minute. We only read your public web pages. Rather talk? Book a free 30-minute call.

The admin a practice runs on

  • Chasing records. Bank statements, receipts and year-end information requested, reminded and requested again.
  • Incoming documents. Letters, notices and statements arriving by email and post, read, filed against the right client and actioned.
  • Routine correspondence. The same questions about deadlines, fees and what's needed, answered one email at a time.
  • Workflow. Jobs moving between preparer, reviewer and partner, tracked in a spreadsheet or practice software that doesn't quite fit.

Where AI helps, and where it shouldn't

Reading and filing documents is a strong fit for VRTL Extract: it reads incoming documents, identifies the client and the type of document, and pulls out the key figures and dates for a person to check.

Routine replies can be drafted by VRTL Assist from your own templates and policies, for a member of staff to approve before anything is sent.

Chasing and workflow are automation: VRTL Flow sends reminders on a schedule and shows every job's status at a glance.

Advice and judgement stay with your qualified people. We don't set AI up to give tax or accounting advice to clients.

For practices that advise clients on technology

If your clients ask you how they could use AI, you can refer them to VRTL. Each introduction gets the same free assessment, and your client always sees that you introduced them.

Questions we're asked

How much does it cost?

The initial assessment is free. Every VRTL product is a monthly subscription with no setup fee, and your personalised page shows the exact monthly price for your configuration, including VAT, before you commit. You can switch optional modules on and off and watch the price change. Anything that genuinely needs bespoke scoping is flagged clearly rather than added later.

Is our data safe?

Website analysis only reads publicly available pages. Inside VRTL, each organisation's data is kept separate from every other customer's and access is controlled by your own team roles. We explain what data each integration uses before it's switched on.

What is the free assessment?

You paste your website address (or describe your business if you don't have one) and VRTL reads your public pages, works out what you do and which day-to-day processes a business like yours runs on, then gives you a short appraisal: where time is most likely being lost, and where AI or plain automation would genuinely help. If one of our products fits, it's set up for you with the price shown. It's free and there's no sign-up.

Can AI help an accountancy practice without risking client data?

Yes, if it's set up properly. The safest gains are in chasing records, reading and filing incoming documents, and drafting routine replies for a person to approve. Client data stays separated, and nothing is sent to an AI model without you knowing what and why.

We advise clients on technology. Can we refer them to VRTL?

Yes. Advisers and accountants can join the VRTL partner programme, introduce clients with a referral link and see the status of introductions. Your clients always see that they were introduced by you.
