A quick checklist

Is my business ready for AI?A ten-question checklist.

You don't need a data science team or a big budget to be ready for AI. You need a clear problem, information you can get at, and someone who owns the result. Answer these ten questions to see where you stand.

The checklist

Give yourself a point for each "yes".

Process

  1. Is there a task someone does every week that follows roughly the same steps? Quoting, invoicing, chasing, answering enquiries, compiling a report.
  2. Could you say roughly how long it takes today? Even a rough number is enough.
  3. Would getting that time back make a real difference? To capacity, response times, or someone's evenings.

Information

  1. Is the information the task needs written down somewhere? In emails, documents, a system or a spreadsheet, rather than only in someone's head.
  2. Can you get at it? You can export it, or the software it lives in has an API.

Systems

  1. Do you use mainstream business software? Common accounts, CRM, e-commerce or job-management systems are usually straightforward to connect.
  2. Are you willing to change how the task is done, not just speed it up? The biggest gains often come from removing steps.

People

  1. Is there one person who would own the result? Not necessarily technical, just responsible for it working.
  2. Will the people who do the task today be involved? They know where the exceptions are.
  3. Are you comfortable with a person checking the output at first? Every good AI rollout starts that way.

What your score means

  • 8–10: You're ready. Pick the process from question 1 and start.
  • 5–7: You're close. The gaps are usually about information (questions 4–5) or ownership (question 8), and are quick to close.
  • 0–4: Start smaller. Choose one task, write down how it's done today and measure it. That's the foundation for everything else, and it's useful whether or not you use AI.

The common blockers, and what to do

  • "Our information is all over the place." Connecting systems is often the first, most valuable step, before any AI. See how to integrate AI into your business.
  • "We don't know where to start." That's what the free AI readiness assessment is for.
  • "We tried a tool and nobody used it." Usually it wasn't connected to the systems people already work in, or it solved a problem nobody had.

The free assessment does the first part of this for you: it reads your website, works out the processes a business like yours runs on, and tells you where to start.

Questions we're asked

Do we need to know what technology we want before we start?

No. Start with your website, or a short description if you don't have one. We'll identify where time is likely being lost and suggest the system that addresses it. If AI isn't the right answer, we'll say so.

What is the free assessment?

You paste your website address (or describe your business if you don't have one) and VRTL reads your public pages, works out what you do and which day-to-day processes a business like yours runs on, then gives you a short appraisal: where time is most likely being lost, and where AI or plain automation would genuinely help. If one of our products fits, it's set up for you with the price shown. It's free and there's no sign-up.

How is this different from an AI consultant's audit?

A consultant's audit usually starts with workshops and ends with a report and a proposal, weeks later. The VRTL check gives you a first read in a minute, from what's already public, and links it to a ready-built system with a fixed price. It's a fast starting point rather than a replacement for a deep review of a complex operation; if your situation needs that, we'll tell you.

Is my business too small for AI?

Rarely. If someone in your business spends hours a week on the same admin task, it's worth checking. Small teams often feel the benefit fastest, because one person's time freed up is a big share of the whole.
